Zoho Bigin Integrating with Zoho Meeting
When it comes to sales, it involves multiple meetings with the contacts say for a demo, negotiation or a discussion. It involves identifying a suitable time, the location, and booking a conference room. This is not always easy and a lot of time is wasted in setting up a meeting.
Online meetings on the other hand, saves a lot of time and is very easy to be set up. Simply create a meeting and invite all the participants.
It's cheaper than the physical meetings because all you need is just a computer system and an internet connection. All the travel and accommodation expenses can be cut down. Also, you can connect with anyone, from anywhere around the world. The chances of cancellation are low, compared to the physical meetings where external factors are involved, the train could get canceled, bad weather, and so on.
Zoho Meeting is an online meeting software, where you can hold online meetings in real-time. Integrating Bigin and Zoho Meeting, lets you create an online meeting right from the Events module in Bigin.
Availability
Setup integration with Zoho Meeting
Integrating Bigin and Zoho Meeting, will give an option to convert an event into an online meeting and it will be automatically captured in Zoho Meeting.
To setup integration with Zoho Meeting
- Go to Settings > Integrations/Toppings > Zoho Meeting and click Setup Now.
- In the Zoho Meeting page, click Activate.
If you do not have an account in Zoho Meeting, a new organization will be automatically created. Also, the users in the Bigin account will receive invitations to join your organization in Zoho Meeting
Create an online meeting
Once the integration is set up, you can create an online meeting from the Events module. While scheduling an event, there will be an 'online meeting' option which can be enabled to set up a virtual event. The online meetings are represented by <icon>.
To create an online meeting
- Go to the Activities module and click the Events tab.
- Click + Event.
- Enter the Event Information.
- Select the Online Meeting checkbox.
- Choose the contacts, users, or enter an email address in the Participants field.
- Click Save.
Invite participants to an event
You can invite more participants even after creating the meeting.
To invite participants
- Go to the Activities module and click the Events tab.
- Select an online event.
- Click +More in the Participants section and select contacts, users, or enter an email address.
- Click Save.
You can also click Copy invitation link to get the meeting invitation URL and share it via email, social media, etc.
Start a meeting
The online meetings can be started right from Bigin. The Start Meeting button will be available in the event details page, 15 minutes before the Event Start Time.
To start a meeting
- Go to the Activities module, click the Events tab and select an online meeting.
- Click Start Meeting button.
Alternately, you can also click Start Meeting from the Notification screen.
Setup an Instant Meeting
You can set up a meeting right away with a contact from the Contact details page.
To setup an instant meeting
- Go to the Contacts module and select a contact.
- Click the Meeting icon > Meet Now.
- Enter the Event information and click Start Meeting.
You will be redirected to Zoho Meeting page and the meeting will be started.
Schedule an online meeting
You can schedule an online meeting with a contact from the Contact details page.
To schedule an online meeting
- Go to the Contacts module and select a contact.
- Click the Meeting icon > Schedule online meeting.
- Enter the Event Information, choose the appropriate date and time and click Save.
View meeting recording
Zoho Meeting lets you record an online meeting and the same will be available in the Events details page in Bigin once the meeting is completed. You can also view the duration that each participant has spent in the meeting. To view recordings, open an online event and the video recording will be available under the Recording section. Please note that the recording and the information about the duration will be available 15 minutes after the meeting is completed.
Disable Meeting Integration
Disabling Zoho Meeting integration will no longer allow you to create an online meeting. However, the meetings that you had created earlier will not be deleted from Bigin and Zoho Meeting.
To disable the integration
- Go to Settings > Integrations/Toppings > Zoho Meetings and click Manage.
- Click Deactivate in the Zoho Meetings page.
